The Brief
The China Roadshow 2023, a signature program of the China General Chamber of Commerce USA - Chicago (CGCC Chicago), offered a unique platform for political leaders, investors, and industry executives from both the U.S. and China to come together. Through a series of business networking events across six major cities in China, guests and partners had the opportunity to interact and engage, fostering valuable connections and collaborations.
The Outcome
The project was successfully launched with 30+ key guests and 50+ partners during an 11-day trip to China.

:: Project Management
Running a project from scratch.
The China Roadshow 2023 presented a unique opportunity for political, business, and cultural exchange. CGCC Chicago organized a variety of activities including networking sessions with local business leaders, site visits, and conferences involving industry leaders and key political figures in China.
🔥 Challenge
Considering the scope of the team and the project's demands, my role felt like handling a firehose as many last minutes changes happened all the time - from managing communication, graphic design, and marketing, to serving as (remote) backup for on-site needs.
🧯 What I did?
Recognizing the constraints of limited resources, I needed to be flexible and adaptable. My manager and I collaborated to align responsibilities and timelines, creating an action plan for efficient tracking. Central to this approach was a sense of ownership, where I considered myself taking full responsibility for the project execution.

:: Communication & Marketing
The flight to China is ready to board.
CGCC Chicago utilizes 3 major marketing platforms: LinkedIn, newsletters, and email. Leveraging these platforms, we crafted a compelling marketing campaign in both English and Chinese featuring detailed information, exclusive perks from our corporate member - Delta Airlines, and clear RSVP contact for interested attendees.
🔥 Challenge
Continuously updating itineraries and changing information poses a challenge in maintaining communication without overwhelming our followers and contacts.
🧯 What I did?
A significant takeaway from this project is to steer clear of saying "It's final." It's crucial to allow space for updates, particularly when new information is expected. Adding a disclaimer like "Subject to change" is a helpful way to remind audiences that the provided information may evolve. Of course, maintaining clear and consistent communication about any updates is equally vital.

:: Graphic Design
A token of friendship.
I suggested the idea of providing tote bags for the trip, thinking they'd make excellent gifts for our guests and partners. I believe a tote bag could serve as a tangible reminder of the connections and friendships formed during this trip. Plus, I can see how they'd be a fantastic way to promote our branding for future marketing purposes and I'm happy to learn that our guests and partners have enjoyed the tote bag I designed.
🔥 Challenge
Given the timing of this proposal and the challenges in budget allocation.
🧯 What I did?
I took the initiative to dive into research and brainstormed a creative solution to find a vendor capable of meeting our strict deadlines and budgetary constraints. After scouring through various options, I found a Chinese vendor on Taobao (a Chinese e-commerce platform). I initiated discussions with the vendor regarding the budget, timeline, and shipping arrangement. When the deadline approached, I suggested domestic shipping, which my manager agreed to. With approval secured, I placed the order swiftly.

:: Video Production
Videos speak louder than words.
The China Roadshow was a standout event of the year, marking our first tour to China since the pandemic. This recap video captures the memories and the friendships we've forged along the way.
🔥 Challenge
I was given just one day's notice to create a recap video for the China General Chamber of Commerce USA - Chicago Annual Gala 2023, while I was away on a trip and had only an iPad.
🧯 What I did?
I didn't have the luxury of starting from scratch, so I had to get resourceful and work with templates from previous projects. I repurposed a handbook I had designed but hadn't been used for some reason. I created the visuals on Canva and added music using iMovie. To ensure compatibility with the venue, I saved several versions in different formats.
